What to put on a photography estimate

  • The session, date and location
  • What is delivered: number of edited images, format, delivery date
  • Usage rights: who may use the images, and how
  • Prints or albums on their own lines
  • The retainer already paid
  • Your business name and how to reach you
  • The client's name and address
  • A unique number and the date

How to use this template

  1. Enter your business details once. This browser remembers them for next time.
  2. Add the client, the date and the job details.
  3. List each item on its own line. Tick “Taxed” for the lines you charge tax on, and enter your tax rate.
  4. Choose “Download PDF or print”, then “Save as PDF” in the print window.
  5. For the next job, choose “New estimate”. It keeps your business details and moves to the next number.

Tips

  • State usage rights on the invoice as well as in the contract. It prevents disputes later.
  • Whether prints and digital files are taxed differs by state; mark each line.
  • Number every document in order and never reuse a number. It makes your records easy to follow.
